Feedback uses Editor, Reviewer, and Reader roles, with deliberately different permissions: Reviewers have a limited feedback-oriented toolset, while Readers are read-only.

A practical workshop and review workflow

Start with a named board template that states the goal, participants, timeboxes, and expected decision. Import only the material needed for the session, gather contributions, and mark unresolved items with tasks and @mentions. Facilitation can use cursors, a timer, voting, and other live features where the license provides them. Afterwards, remove duplicates, record decisions in a clearly labelled section, and assign follow-up work. For a customer or design handover, an Editor starts an approval process with a due date. After review, export the approved version as a PDF or image and move it into the accountable archive or delivery workflow.

Integrations, export, and operations

Conceptboard works primarily in the browser. Its official Help Center documents file uploads, attachments, board and section exports as PDF or PNG, and embedded external content. Depending on team and board rights, integrations include Microsoft Teams, Webex, Jira, and Azure; availability and synchronisation depend on the plan and role. A pilot should therefore test more than invitations: verify the path from board to ticket, meeting record, presentation, or archive. An export is a handover snapshot, not automatically the maintained source of truth.

Quality checks and decision criteria

Evaluate Conceptboard with one real workshop and one real review, not an empty demo. Measure whether decisions are easier to find, whether follow-up questions decrease, and whether assigned work is actually completed. Test performance with realistic attachments, the readability of exported PDFs, the permissions of an external guest, and the return or deletion of materials. If the result still lives in chat, tickets, and personal downloads at the same time, the team has not created a reliable process.

Security, privacy, and governance

Conceptboard describes its cloud service as GDPR-compliant and hosted in Germany. Its security material names ISO 27001, ISO 27017, and ISO 27018 certifications, TLS in transit, and AES-256 encryption at rest. Depending on the agreement and plan, SAML/OAuth SSO, audit logs, administrator controls, and hosting options with IONOS, StackIT, dedicated infrastructure, or on-premises deployment may be available. Do not assume these controls for every free account. Before placing personal data or confidential customer documents on boards, review the DPA, retention and deletion process, subcontractors, guest links, and the actual data-residency option with the vendor and your legal or IT owners.

The official pricing page lists a Free tier, Starter from €5 per user per month, Advanced from €10, and Corporate & Government from €14; statutory VAT is added. Packages differ in active boards, projects, storage, file-size limits, board history, approvals, administration, support, and SSO. IONOS or StackIT hosting can add cost, while special, dedicated, or on-premises options are quote-based. Budget for named seats, guests and projects, storage, contract terms, exports and archiving, administration, and the privacy review—not just the headline seat price.

Conceptboard is recommended for teams running facilitated workshops, visual reviews, or client approvals with explicit ownership. It creates value when a board has a defined input, a decision point, and a documented handover, and when a pilot uses real materials rather than demo sticky notes. Choose a narrower alternative for quick personal notes, long-term structured knowledge management, or a fully local workspace. The buying decision should rest on whether the team consistently uses board permissions, the approval checkpoint, and the final storage destination.
